Development & Events Coordinator

Summary

Coordinate and manage annual calendar of fundraising and special events in keeping with the mission and goals of Peninsula School of Art. Execute plans for involving a diverse constituency in Peninsula School of Art activities, including volunteers, members and donors. In conjunction with the Executive Director implement and promote annual membership, fundraising, grants and sponsorship programs. Develop community relationships to foster successful events and organizational growth.

Primary Duties and Responsibilities

Event Coordination
  • Coordinate and manage annual calendar of fundraising and special events in keeping with the mission, goals, budget objectives, image and strategy of the School
  • Develop and adhere to project timelines
  • Plan and coordinate event details such as recruitment of volunteers, site and entertainment selection, ordering of materials and supplies, tracking of invitations and itinerary based on fundraising goal or event theme
  • Coordinate the production of materials used for events, including but not limited to invitations, name tags, program booklets, posters and websites ensuring that the School and sponsors’ names are attached to all event materials
  • Provide staff and logistic support for events
  • Maintain guest lists and ticket sales databases for all events
  • Monitor events budgets
  • Research and solicit event sponsorships
  • As requested, prepare written reports, presentations and public information materials related to event
Fundraising & Development
  • Maintain accurate donor database files in Giftworks and manage donor mailing lists
  • Manage receipt of contributions, recording of membership data, and the preparation of acknowledgment letters
  • Generate computer reports of fundraising results; generate labels and mail premiums and/or fundraising materials and/or publications to donors
  • Work with Executive Director to develop strategies and promotions to increase annual memberships
  • As directed, write grant proposals/sponsorship requests or coordinate writing with other staff; follow up as needed
  • Research and identify potential new grant and sponsorship sources from foundations, corporations and government
  • Maintain tracking/filing system for all steps of the grant proposal process including due dates, reporting deadlines, proposal files, etc.
Volunteer Management
  • Schedule volunteers for participation in events
  • Maintain volunteer contact list and information in primary database
  • Ensure that volunteers receive the appropriate level of supervision
  • Plan and implement formal and informal volunteer recognition activities to recognize the contribution of volunteers to the organization
Planning & Organization
  • Prioritize tasks and objectives in relation to organizational goals 
  • Identify problems and propose solutions 
  • As a member of the Art School professional staff, participate in strategic planning and goal setting for the organization
Miscellaneous
  • Represent Peninsula Art School at events as needed
  • Maintain flexibility to meet last-minute or unexpected situations
  • Perform other duties as requested and need arises.

Arts Administration Internship Opportunity

For over 45 years, the Peninsula School of Art, in Door County, Wisconsin has been a destination for education in the visual arts. Over 150 workshops are offered for artists of all levels and ages. The successful candidate will have the opportunity to learn more about what goes on behind the scenes at a busy and vibrant non-profit arts school and to gain valuable, practical skills in program management, customer service, studio management, event planning, hospitality, and arts administration.

Responsibilities include:

  • Assisting the staff in the day-to-day management of the school
  • Setting up and maintaining studios
  • Answering phones and general inquiries
  • Assisting visitors
  • Processing student registrations
  • Selling special event tickets
  • Assisting in event set up and coordination

Successful candidates should be detail-oriented and well-organized with strong written and verbal communication skills. Strong computer skills are required, including knowledge of Microsoft Word and Excel. Knowledge of the visual arts is beneficial.

  • Dates of 2012 Internship: Flexible, June 1 to August 27 preferred. Specific start and end dates will be arranged prior to hiring.
  • Work schedule: A work schedule will be developed upon hiring.  Interns work approximately 25 hours per week and will be expected to work more during Peninsula School of Art summer events. Some evening and weekend hours required.
  • Compensation: $11/hour, plus one art class
